How to: Setup Common Data

Overview

This page explains how to use setup common data in Katmandoo.

Step 1 - Setup Location, Organisation and Contact


What? How? Which Columns?
Location Location information is required To add Contact and Site, but Unknown Location can be used if NOT available.

Use [ Task > Site > Manage Location ] to manage Location.
  • To import locations using a source file use [ Record > Import > Import Location ].
  • To add a single location, use [ Record > Add Location ] to run Location setup form.
    • To change postcode or location name even after the location have any dependant data (eg Contact and/or Site), use [ Record > Edit Location ].
Required: LocationName and Postcode

Optional: LocationLatitude, LocationLongitude
and virtual columns of LocationFactor table.
Organisation If organisation is not important part of the data or if it is not available, then Unknown Organisation can be used.

Use [ Task > Contact > Manage Organisation ] to manage Organisation.
  • To import orgnisations, use [ Record > Import > Import Organisation ].
  • To add a single organisation, use [ Record > Add Organisation ] to run Organisation setup form.
    • To rename organisation even after it has dependant data, use [ Record > Edit Organisation ].
Required: OrganisationName
Contact If contact is not important part of the data or if it is not available, then Unknown Contact can be used. If organisation of the contact is not known, then Unknown Organisation can be used.

Use [ Task > Contact > Manage Contact ] to manage Contact. Then load contact navigator and click on a node in the navigator to load Contact Main Form.
  • To import contacts using a source file use [ Record > Import > Import Contact ].
  • To add a single contact, use [ Record > Add Contact ] to run Contact setup form.
    • To rename contact even after it has dependant data, use [ Record > Edit Contact ] which can be also used to correct location and organisation of the contact.
Required: FirstName, LastName, LocationName and Postcode

Optional: Telephone, Mobile, Address, OrganisationName
and virtual columns of ContactFactor table.

Step 2 - Setup Site and Site Year


What? How? Which Columns?
Site Site is the place where the trial is done. So, it is strongly recommended to add site with correct information.

Use [ Task > Site > Manage Site and Site Year ] to manage Site. Then load site navigator and click on location node in the navigator to load Site Main Form.
  • To import sites using a source file use [ Record > Import > Import Site ].
  • To add a single site, use [ Record > Add Site ] to run Site setup form.
    • To rename site even after it has dependant data, use [ Record > Edit Site ] which can be also used to correct location of the site.
    • But Trial Acronym Suffix can not be corrected once the site has a trial.
Required: SiteName, SiteTypeName,
LocationName and Postcode


Optional: CurrentSiteManagerName, CurrentMetStationName
and virtual columns of SiteFactor table.
Site Year If you are importing trial, then site year is added by Import Trial Wizard.

Use [ Task > Site > Manage Site and Site Year ] to manage Site Year. Then load site navigator and click on site node in the navigator to load Site Year Main Form.
  • To add a single site year, use [ Record > Add Site ] to run Site Year setup form.
  • To  add site year/s for selected site/s, use Bulk Insert Site Year.
  • If you are importing Site Year from the source file then follow the steps in Import Site Year section to import unique site years only.
    • Important Note: The checkbox "If source file.." must be ticked.
Required: SiteName and SiteYear

Optional: SiteManagerName, MetStationName
and virtual columns of SiteYearFactor table.

Step 3 - Setup Sub-system, System User


What? How? Which Columns?
Sub-system Katmandoo is designed to use Sub-system to manage data and security.

Use [ Task > System > Manage Sub-system ] to manage Site.
Required: SubSystemName
System Group When a new system is added, Katmandoo also adds default System Groups (Admins, Managers and Users).

Use [ Task > System > Manage System Group ] to change default permissions of the System-group.
Optional: SystemGroupName
System User dba is the default system administrator of Katmandoo.

Use [ Task > System > Manage System User ] to manage users of Katmandoo.
Required: UserName

Optional: Contact record of the User

Step 4 - Setup Virtual Column and Trait


What? How? Which Columns?
Virtual Column Use [ Task > System > Manage Virtual Column] to manage virtual columns.
Required: ColumnName, ColumnCaption,
ColumnDescription, ColumnDataType,
TableNameOfColumn



Optional: ColumnValidationRule,
ColumnValidationRuleErrMsg
Trait Use [ Task > System > Manage Trait ] to manage traits.
  • To add a single virtual column, use [ Record > Add Traits] to run Trait setup form.
  • To import virtual column from a source file use [ Record > Import > Import Trait ]
Required: TraitName, TraitCaption, TraitDescription,
Trait
DataType, TraitUnit

Optional: ColumnValidationRule,
ColumnValidationRuleErrMsg

Step 5 - Setup Genus and Genotype


What? How? Which Columns?
Genus Use [ Task > Genotype > Manage Genus ] to manage genus.
To allow Genus and its genotypes can be used with one or more Sub-systems, use [ Task > System > System Group ] and then use [ Record > Update Authorised Genus ].
Required: GenusName

Optional: Permission of Genus
for individual Sub-system
Genotype Genotype is the most important data of Katmandoo. So, it is strongly recommended to enter correct data only in the system.

Use [ Task > Genotype > Manage Genotype ] to manage genotypes. Then load genotype navigator and click on a node in the navigator to load Genotype Main Form.
Required: GenotypeName, GenusName

Optional: SelectionHistory, Pedigree,
Species Name, GenotypeAliasName,
Origin and genotype virtual columns.
